We never share, sell, rent or pass attendee details to technology vendors, suppliers or sponsors. Not for a fee, not as a favour, not as part of any commercial arrangement. This is the foundation the Exchange is built on and we will not compromise it.
Who we are
The Manufacturers Digital Exchange is an industry led initiative supporting better digital decision making across UK manufacturing. For the purposes of the UK General Data Protection Regulation and the Data Protection Act 2018, we are the data controller for the personal data described in this policy.

What we collect and why
We only ask for what we need to do the thing you asked us to do. There are three forms on this website and each one collects something slightly different.
Booking a place at a session
We collect your first name, last name, company, job title and email address. We also invite you to tell us, optionally, what you are currently navigating and any dietary requirements. We use this to confirm your place, send joining details, cater the day, and shape the discussion so that it is useful to the people in the room.
Getting in touch through the Get Involved page
We collect your first name, last name, company, job title, email address, the nature of your enquiry, and whatever you choose to write in the message field. We use this to reply to you.
Downloading a guide or framework
We collect your first name, last name, email address and optionally your company. We use this to understand who our material is reaching and, occasionally, to let you know about a session that looks relevant to you. Nobody will telephone you about a product, because we do not sell products.
Our lawful basis

Who processes your data
We are a small operation and we use a small number of established providers to run it. Each of these is a data processor acting on our instructions. We do not use any of them to profile you, target advertising at you, or build a picture of you beyond what you have told us directly.

Some of these providers are based outside the UK. Where personal data is transferred internationally, it is protected by appropriate safeguards, including the International Data Transfer Agreement or the UK Addendum to the European Commission Standard Contractual Clauses.
Cookies
This website does not use cookies for tracking, advertising or analytics. We do not run Google Analytics. We do not use social media pixels. There is no cookie banner because there is nothing to consent to.
If you follow a link from this site to Stripe, LinkedIn or any other third party, that organisation will set its own cookies and apply its own privacy policy. We have no control over those and we would encourage you to read them.
How long we keep it
- Booking records. Retained for the duration of the session and for two years afterwards, so that we can invite you back and account for who was in the room.
- Enquiries. Retained for two years from your last contact with us, then deleted.
- Download records. Retained for two years, then deleted.
- Financial records. Retained for six years, because HM Revenue and Customs requires it.
If you ask us to delete your data sooner, we will, except where we are legally required to keep it.
What you can ask us to do
Under UK data protection law you have the right to:
- Ask what personal data we hold about you, and receive a copy of it
- Have inaccurate data corrected
- Have your data deleted, where there is no compelling reason for us to keep it
- Restrict how we use your data while a concern is investigated
- Object to us processing your data on the basis of legitimate interests
- Receive your data in a portable, machine readable format
- Withdraw consent at any time, where we have relied on consent
Email hello@manufacturersdigitalexchange.org. We will respond within one month and there is no charge. You will not need to explain yourself and asking will not affect your standing with us in any way.
Automated decisions
We do not make automated decisions about you and we do not profile you. Every decision about who joins a session is made by a person, based on whether the room will be useful to you and you to it.
Keeping your data safe
Access to submissions is limited to the people running the Exchange. Our email and form providers use encryption in transit and at rest. This website is served over HTTPS. No system is perfect, and if a breach ever occurred that posed a risk to your rights, we would tell you and the Information Commissioner without delay.
If you are unhappy
Tell us first. We would much rather hear about a problem directly and fix it. Email hello@manufacturersdigitalexchange.org.
You also have the right to complain to the Information Commissioner's Office at any time, whether or not you have spoken to us. The ICO can be reached at ico.org.uk or on 0303 123 1113.
Changes to this policy
If we change how we handle your data in any material way, we will update this page and change the date at the top. If the change is significant and affects people whose details we already hold, we will email them.
